Message handoff: how the reply should move

A buyer text usually needs three handoffs:

1. From public inquiry to private review

The buyer texts the listing number. That message should land in the inbox you control, not your personal thread.

2. From review to action

After you read the message, choose one path:

  • answer directly if it is a simple question
  • send a showing option if they seem interested
  • request an email address if you want to send details in one bundle
  • mark it as pending if they have not chosen a time

3. From action to fallback

If the buyer still does not schedule, move them into a fallback path instead of leaving the thread open forever.

Fallback options when a buyer texts but does not schedule

Use one of these depending on how serious the inquiry is.

Option A: one reminder, then pause

If a buyer asks for information but does not choose a time, send one short follow-up.

Thanks for reaching out. If you still want to see the home, reply with a day and time that works for you.

If there is no reply, stop there for now.

Option B: move the lead to a later check-in

If the buyer seems interested but busy, set a reminder for later.

Just checking in in case your schedule opened up. If you would like to tour the home, send me a time window and I will confirm availability.

Option C: switch to a lower-friction handoff

If they keep texting but never schedule, offer one alternate path.

  • ask for an email address
  • offer a short window of available times
  • point them to a viewing request process if you use one

This keeps the conversation organized without pushing your personal number into the exchange.

Worked example: keep the seller reachable without exposing the private number

Assumption

This example assumes the seller wants to answer texts quickly, keep their personal number private, and avoid juggling separate threads. It is a workflow example, not a proven method for every listing.

Setup

  • Public listing number: Google Voice number
  • Forwarding: enabled to one phone during daytime hours
  • Backup: texts also forwarded to Gmail for review later
  • Review rule: check new buyer messages twice a day
  • Stop rule: if a buyer does not schedule after two replies, pause follow-up

Example message flow

  1. Buyer texts: “Is the house still available?”
  2. The message lands in the listing inbox, not the seller’s personal phone.
  3. Seller replies from the inbox: “Yes, it is. If you want to see it, send a day and time that works.”
  4. Buyer replies: “I’m busy this week.”
  5. Seller sends one fallback message: “No problem. If next week is better, send a time window and I’ll check availability.”
  6. Buyer goes silent.
  7. Seller marks the lead as pending and stops contacting them for now.

Why this works
